Description

The Financial Counselor offers friendly, courteous, and confidential assistance to ensure patients have a positive experience and their insurance and service payment status is coordinated. The incumbent will maintain accurate information on patients to facilitate the patient encounter and use automated systems to expedite patient scheduling, pre-registration, check-in, and check-out among other administrative support tasks.

Duties and Responsibilities:

Administrative Support

  • Screens phone calls from patients, other providers, and outside partners.
  • Prints and mails directions, maps, fee schedules, and department specific information to patients.
  • Responds to requests for completion of various medical forms for patients such as MVA forms, Disability forms, medical records, Worker’s Compensation forms, etc.
  • Runs reports out of the EMR
  • Handles basic in-basket requests and forwards as necessary to the appropriate resource.
  • Assists with back office duties as needed to ensure consistent patient flow.
  • Prepares and mails notes to referring and other physicians as requested
  • Maintains appropriate level of office supplies and medical forms and orders additional stock in a timely manner.
  • Scanning documentation into patient files

Medical Support

  • Answers patient inquiries where appropriate and determines if physician/nurse response is required.
  • Assists patients or family members with completion of medical insurance and other forms.
  • Scans medical records documents into the electronic medical records system.
  • Assists with EMR data entry to support clinical team
  • Assists physician(s) in monitoring the electronic medical records as assigned in signing of operative notes, discharge summaries, and clinic notes.

Intake Backup and Support

  • Schedules patients for laboratory tests, medical examinations, appointments, and admissions. Resolves any schedule conflicts.
  • Uses automated records systems to access, enter, and edit patient information.
  • Coordinates visits either within the department or between agencies or sites.
  • Telephones and interviews patients and/or family members to obtain accurate pre-registration information and to confirm appointments.
  • Obtains and/or verifies patient’s demographic data by phone or in person.
  • Assist the Intake Specialist with the intake process including meeting with patients to complete intake screenings, and helping to monitor the flow of patients in the intake queue.

Finance Support

  • Verifies and enters pre-registration and insurance information into the computer system and prepares daily printed schedules for designated areas.
  • Collects time of service payments, issues receipts, and prepares cash settlement records as required for cross coverage.
  • Discusses patient charges, if appropriate, with patients and/or patients’ families.
  • Provides financial counseling as necessary, including reviewing payment expectations with patients
  • Assists with basic insurance and third party queries and explains payment policies.
  • Assists patients who have lost their insurance with the reinstatement process.
  • Assists with uninsured patients – counseling, collecting required documentation, guiding follow up with the clinical team, entering uninsured requests in the Beacon portal, communicating updates regarding uninsured clients to finance team.
  • Maintains familiarity with various types of medical insurance to explain these plans.
  • Collect patient payments from safe at end of day and reconcile with accounting
  • Other duties, as assigned.

Qualifications

High School Diploma or GED and one (1) year work experience required in a similar service-oriented industry. Must have top notch customer service skills and comfort working with a clinical population. Preference for college experience or experience related to billing system work and knowledge of medical insurance coverage.
